1. Overview
DeepGround ("DeepGround", "we", "us") provides AI agents that answer calls, schedule appointments, send follow-ups, and complete other front-office tasks for small businesses (the "Service"), available at deepground.app and app.deepground.app.
This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to business owners and staff who use the Service ("you" or "Customers") and, where noted, to the customers and callers of those businesses ("End Users").
2. Information we collect
Account information. When you sign up we collect your name, email address, business name, and authentication details. If you sign in with a third-party identity provider, we receive the profile information that provider makes available (such as your name, email address, and avatar).
Business configuration. Information you provide to set up your agents, such as business hours, services offered, service area, escalation contacts, and instructions for how your agents should behave.
Conversation data. Messages you exchange with your agents in the DeepGround workspace, and, where you enable phone features, call recordings, transcripts, and SMS messages exchanged between your agents and End Users.
Connected account data. When you connect a third-party service (such as Google, Jobber, or Housecall Pro), we access the data in that account that is needed to perform the tasks you ask your agents to do. See Google user data below for details about Google accounts.
Usage and device information. Log data such as IP address, browser type, pages visited, and timestamps, collected automatically when you use the Service.
Payment information. If you purchase a paid plan, payment is processed by our payment provider. We receive a record of the transaction and your billing details but do not store full card numbers.
3. How we use information
We use the information we collect to:
- Provide, operate, and maintain the Service, including running the agents you configure and completing the tasks you ask them to do.
- Authenticate you and secure your account.
- Communicate with you about your account, service updates, and support requests.
- Process payments and manage subscriptions.
- Monitor, debug, and improve the reliability and performance of the Service.
- Comply with legal obligations and enforce our Terms of Use.
We do not sell your personal information, and we do not use your content, conversation data, or connected account data to train generalized artificial intelligence or machine learning models.
4. Google user data
You may choose to connect a Google account so your agents can work with Gmail and Google Calendar. When you do, Google asks you to grant DeepGround specific permissions ("scopes"). We only request the scopes needed for the features you enable, and we access your Google data only to perform the actions you or your agents request.
Gmail. With your permission, DeepGround can read messages you ask an agent to search for or summarize, and draft, reply to, or send emails on your behalf. Email content is processed to complete the requested task and to show you the result in your workspace. We do not read your inbox in bulk, and we do not use email content for advertising.
Google Calendar. With your permission, DeepGround can list your calendars, read events, check availability, and create, update, or delete events so your agents can schedule and manage appointments.
Limited Use disclosure. DeepGround's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we:
- Only use Google user data to provide or improve user-facing features that are prominent in the Service.
- Do not transfer Google user data to third parties except as necessary to provide those features, to comply with applicable law, or as part of a merger or acquisition with notice to you.
- Do not use or transfer Google user data for serving advertisements.
- Do not allow humans to read Google user data unless we have your affirmative agreement for specific messages, it is necessary for security purposes (such as investigating abuse), it is required to comply with applicable law, or the data has been aggregated and anonymized for internal operations.
- Do not use Google user data to train generalized AI or machine learning models.
Storage and retention. OAuth tokens for your Google account are stored encrypted and used only to make API calls on your behalf. Email and calendar content retrieved for a task is processed in memory and, where it appears in your workspace conversation, is retained as part of that conversation until you delete it or your account is closed.
Revoking access. You can disconnect your Google account at any time from the Integrations page in the Service, or from your Google Account permissions page. When you disconnect, we delete the stored tokens and stop accessing your Google data.
6. End Users of our Customers
When your customers call, text, or email a business that uses DeepGround, our agents may collect information from them on your behalf, such as name, phone number, address, and the reason for their request. We process this information as a service provider to you, under your instructions, so you can serve your customers. The business you contacted is responsible for how that information is used. If you are an End User with questions about your data, please contact the business directly or email us at hello@deepground.app.
7. Data retention
We retain your account information and content for as long as your account is active or as needed to provide the Service. When you delete your account, we delete or anonymize your personal information within 30 days, except where we must retain it to comply with legal obligations, resolve disputes, or enforce our agreements. Backups are purged on a rolling basis thereafter.
8. Security
We use industry-standard safeguards to protect your information, including encryption in transit (TLS) and at rest, encrypted storage of third-party credentials and tokens, access controls limiting employee access to production data, and logging and monitoring of our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your choices and rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your personal information.
- Export your data in a portable format.
- Object to or restrict certain processing.
You can update account details and disconnect integrations from within the Service. To exercise other rights or delete your account, email hello@deepground.app. We will respond within 30 days.
10. Children
The Service is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. International transfers
DeepGround is based in the United States and processes data on servers located in the United States. If you access the Service from outside the U.S., your information will be transferred to and processed in the U.S., where data protection laws may differ from those in your jurisdiction.
12. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the Service before the change takes effect. The effective date at the top of this page indicates when it was last revised.
